Cleaning up QuickBooks Online before you outsource

Quick answer

Before handing a QuickBooks Online file to an outsourced team, clear the problems that make every later month harder: uncategorised income and expenses, unreconciled bank and card accounts, duplicate transactions, opening balance equity, undeposited funds and old open invoices and bills. Fix them from the last reconciled month forward and record every adjustment.

Clean-up checklist

  1. Find the last month that reconciles cleanly for each bank and card account.
  2. Reconcile every month after that, fixing missing and duplicate transactions.
  3. Recode uncategorised income and expense.
  4. Clear undeposited funds by matching payments to deposits.
  5. Review opening balance equity and move balances to the right accounts.
  6. Review old open invoices and bills; void, write off or apply credits as agreed.
  7. Check sales tax or GST balances against filed returns.
  8. Lock the closed periods with a closing date and password.

Record every adjustment in a list your reviewer can sign off.
